Six-Month Practice Training & Certification Program

Program Notes

  • The office should follow the training path as outlined, completing each session in order to ensure consistent progress and skill development.

  • Review sessions may be scheduled during off weeks to reinforce learning and address any challenges.

  • Team members can rewatch any module on demand for additional review or clarification.

  • Completion of the Survey and Quiz for each session is mandatory to receive Continuing Education (CE) credit.

Baseline Evaluation and Role Alignment

This initial module establishes the foundation for the entire program. Each team member completes a skills and workflow assessment to identify current strengths and improvement areas. The session also confirms each person’s role within the practice—Provider, Assistant, Hygienist, Scheduler, or Treatment Coordinator—and how they contribute to patient care and operational success.

How to Screen for Sleep Apnea (Week 2)

Learn how to identify clinical indicators of sleep apnea during routine patient interactions. Participants will use screening tools, recognize patient risk factors, and communicate effectively about potential sleep concerns.

Referral for Diagnosis & Proactive Strategies for Veterans (Week 4)

Covers the referral process for sleep apnea diagnosis, including procedures for VA and SLIIP patients. Emphasis on documentation, referral accuracy, and proactive communication to ensure timely diagnosis and treatment.

Onboarding with EMR (Week 6)

Participants will master best practices for patient record management in the EMR system. Topics include data accuracy, workflow integration, and communication between team roles to ensure consistent documentation.

The First Appointment Advantage (Week 8)

Focuses on creating a seamless and positive first appointment experience. Topics include patient rapport, expectation setting, and effective handoffs to build confidence and ensure comprehensive care.

Case Presentation & Treatment Acceptance (Week 10)

Learn effective strategies for presenting treatment plans and building patient trust. Participants will practice explaining health benefits, addressing concerns, and closing treatment plans confidently.

Marketing Platform & Review of Metrics (Week 14)

This session focuses on how to incorporate the dsmMS Marketing Platform to capture new leads and manage patients who may delay treatment. The system monitors activity within both the EMR and the marketing platform, providing monthly reports and automated notifications to help ensure the most effective follow-up and patient engagement. Participants will learn how to interpret these reports, respond to alerts, and use data insights to strengthen marketing performance and patient conversion outcomes.

Community Outreach & Presentation Opportunities (Week 18)

This session focuses on identifying and engaging in outreach opportunities within the provider’s community, including local business networks, veteran organizations, and small businesses. Participants will learn how to use these connections to promote sleep health awareness and build referral relationships. The session also covers strategies for creating and delivering effective presentations, developing partnerships, and positioning the practice as a trusted community resource for sleep-related care.

Clinical Review with CCO (Week 22)

This session provides an in-depth clinical review led by the Chief Clinical Officer (CCO). The focus is on evaluating diagnostic consistency, treatment outcomes, and adherence to established protocols. Participants will review selected cases, discuss best practices, and address any challenges identified during prior sessions. The goal is to ensure clinical accuracy, strengthen case management, and maintain high standards of care across the practice.

Claims Status Reports and Financial Review (Week 26)

This session focuses on reviewing insurance claim activity and assessing the overall financial performance of the sleep practice. Participants will learn how to interpret claims status reports, identify trends or delays, and resolve outstanding claims efficiently. The discussion will also include analysis of production, collections, and reimbursement metrics to ensure the practice maintains healthy financial operations and aligns billing practices with clinical and administrative goals.

Review and Next Steps (Week 28)

This closing session provides a comprehensive review of the six-month training program. The team will evaluate overall progress, revisit key performance metrics, and reflect on improvements in both clinical and administrative areas. Participants will discuss lessons learned, identify remaining growth opportunities, and establish an action plan for continued development. The session concludes with defining next steps for maintaining momentum, sustaining best practices, and preparing for future certification or advanced training.
